OTHERWORK Privacy Policy

Effective September 5, 2026

This Privacy Policy explains what OTHERWORK collects, why it is used, how it is shared, and how retention and deletion work.

1. Information we collect

Account and studio data: name, email, phone, login credentials in hashed form, studio/business details, settings, hours and preferences.

Client and service data you enter: client names and contact information, hair/service history, appointment details, consultation notes, photos, forms and signatures, formulas, mix records, product use, retail, invoices, credits, loyalty records and communication-consent records.

Business records: service pricing, inventory, checkout records, payment-method labels, revenue/expense entries and reports. OTHERWORK does not need your full payment-card number for ordinary recordkeeping; payment providers handle card details when their checkout is used.

Technical and support data: security/session information, device/browser information made available by normal web requests, diagnostic events, support messages and feedback.

2. How we use information

We use information to provide and secure your workspace; schedule and manage appointments; maintain client/formula history; operate inventory, checkout, reporting, forms, websites and messaging; provide support; prevent abuse; improve reliability; and comply with legal obligations.

3. AI-assisted features

AI features run only when the product workflow calls for them. Formula Assistant may send relevant client/color context and the current, inspiration or prior-result photos selected for that formulation workflow to the configured AI provider. Social-caption generation is designed to send the caption brief and not automatically send selected client media. Ask Marlowe uses saved OTHERWORK business records to answer the question you submit. Do not include information unnecessary for the task.

4. How information is shared

We do not sell personal information to advertisers. We may share data with service providers that help operate OTHERWORK, such as hosting/database storage, email, messaging, payment, security and AI providers, only as needed for their function and subject to appropriate contractual or service protections. We may also disclose information when required by law, to protect rights or security, or as part of a corporate transaction subject to applicable protections.

5. Stylists and client data

The stylist or studio decides which client records are collected and why. For client information stored by a stylist, OTHERWORK generally acts as the technology service provider processing data for that studio. Clients should contact their stylist first about corrections or service records; OTHERWORK support can assist the account owner with technical deletion/export requests.

6. Retention

Active workspace data is kept while the account is active and as needed to provide the service. Routine database backups are retained on a rolling basis for approximately 14 days in the current production design. Some security, transaction, tax or legal records may be retained longer when reasonably necessary or legally required.

7. Account and data deletion

Signed-in users can initiate account deletion inside OTHERWORK under Account & Billing → Delete OTHERWORK Account. For an eligible owner account, active studio data and associated account information are removed from the live workspace. Residual copies in backups age out through the normal backup-retention cycle. Limited records may be retained when required for legal, security, fraud-prevention or financial obligations. See the Account + Data Deletion Policy.

8. Consent and communication choices

Client messaging is designed to respect saved channel consent and opt-out status. Account owners can change supported settings in the app and may contact support to exercise applicable privacy rights. Marketing communications, if introduced, will provide appropriate opt-out controls.

9. Security

We use safeguards intended to protect account and client information, including authenticated workspaces, tenant separation, password hashing, restricted admin access, encrypted network transport in production and backup/recovery controls. No security method is perfect, so account owners should also use strong unique passwords and protect their devices.

10. Children and minors

OTHERWORK accounts are not intended for children. Stylists may keep service records or guardian-consent forms for minor clients when appropriate to their business and local requirements. Account owners are responsible for obtaining guardian permission when required.

11. Privacy rights

Depending on where you live and how a law applies, you may have rights to access, correct, delete or receive a copy of personal information, or to object to certain uses. Send a request to support@otherwork.app. We may need to verify identity before fulfilling a request.

12. Changes

We may update this policy as OTHERWORK changes. The current version and effective date are published at otherwork.app/privacy; material changes may also be shown in the app or sent to account owners.
